Overview of Employee Self Service (ESS)

 

The Avago Technologies ESS is a web-based tool that enables employees to view and perform various payroll-related information and online transactions, which are as follows:


The inputted online transactions will be captured and considered in monthly payroll processing.

Distribution of New Password


All employees are required to use their Employee ID as User ID in order to log into ESS. This will be your 8-digits Employee ID. User ID cannot be changed.


For employees who joined on the official ''move-over'' date as indicated below, the full password will be delivered by Avago Technologies internally, either via email or internal communication.




If you did not receive your ESS password by the live date of your country as indicated below, please contact Avago Technologies Service Center via email or phone. You can find the contact details at the Login Page.



Meanwhile, for employees who joins after the official ''move-over'' date, the modes of new password distribution are as follows:


For Indirect Labour (IL) Employees


For Direct Labour (DL) Employees


Upon the first login with first new password, system will prompt user automatically to change his or her password. This task is compulsory and system must accept the newly changed password successfully before employees are able to access and use the ESS. Please refer below for detailed steps of changing password.

First Time Login


This section provides the preliminary and basic ''how to use'' steps in getting started with the ESS.


Step 1: Receipt of New Password

Before you begin using the ESS, you will need to ensure the receipt of new password that is sent to your email or to your respective supervisor or manager (if you are not having an email account).



Step 2: Input User ID and Password

Screenshot 2 outlines the detailed steps of inputting User ID and password.

  1. Input User ID.
  2. Input Password.
  3. Click the "OK" button.
Step 3: Change Password

Upon the input of User ID and new password at the ESS Login Page, system will automatically route you to the ''Change Password'' screen, prompting that the recently inputted password has expired (as reflected under Screenshot 3). It is compulsory to change your recently inputted password and system must accept the newly changed password successfully prior you can access and use the ESS.

Main Page and Navigating the ESS



Below outlines the layout definition of main page and its functions.

  1. Title Frame
    Display login user employee name and ID. Users will also be reminded of their user password expiry in days.

  2. Main Menu Bar
    Display all main menu items according to login user access role, which is either employee or manager.

    Avago Technologies ESS is built and designed to handle two (2) different types of roles, which are employee and manager.The various ESS functions for different roles can be performed within a single ESS login, using the same User ID and password. All managerial ESS functions are consolidated under a specific designated link - "Manager". Not all employees have the access to the "Manager" link whereby the visibility depends on the roles and responsibilities setup as advised at GHRMS.

  3. Sub Menu Frame
    Display all sub menus according to the selected title from the main menu bar, which are all the employee and manager ESS functions.

  4. Main Frame
    The main frame will display the content depending on the topic selected from the main and sub menu

  5. Content Category Frame
    The content category frame will display the category under each item of the sub menu frame.

When You Encounter Error Page While Accessing to the Module in Sub Menu Frame (For Non Avago Japan Employees)


As the security level for Internet and trusted sites across organizations are often set at ''Medium'' level at minimum (as reflected under Screenshot 8), you will need set the ESS URL to always allow the site to use cookies at their local workstation / PC, in order to have the accessibility on all ESS modules and functions. This setup in this case will impact Avago Technologies ESS only and not other Internet URLs as a whole, as the security level for Internet access will still remain as per Avago Technologies IT internal requirements.

ii.        As reflected under Screenshot 11, when the Privacy Report pops up, select the ESS URL that is used to access the login page. Then, double click at the selection.

i.         As reflected under Screenshot 13, go to ESS Login Page and the setup MUST be performed at ESS Login Page. If setup is not performed at ESS Login Page, user will NOT have the accessibility on all ESS modules and functions.

ii.        As reflected under Screenshot 14, click at ''Tools'' under the Internet Explorer Menu Bar and Select Internet Options.

iv.       Then, click at the ''Sites'' button to view the Per Site Privacy Action Report for adding a specific website / URL to your local workstation / PC in order to have the accessibility on all ESS modules and functions.

v.        As reflected under Screenshot 16, input the following URL at the ''Address of Web site'' field and click at the ''Allow'' button.


       For Avago Japan Employees        For Avago China Employees

 

vi.       Then, click at the ''OK'' button to activate the allow action.

vii.     As reflected under Screenshot 17, ensure the inputted Web sites are added successfully and reflected under the ''Managed Web sites:'' section.

When You Encounter Error Page and System Prompts It's Due to Unavailability of ActiveX Controls


ActiveX is a set of technologies from Microsoft that enables interactive content for the World Wide Web and provides the glue that ties together a wide assortment of technology building blocks to enable these "active" Web sites.


At Avago Technologies ESS, ActiveX Controls enables the viewing compatibility of interactive content and tables. Without the installation of ActiveX Controls, you can encounter error page as reflected under Screenshot 18.

Below outlines the steps to download and install ActiveX Controls. This is a one-time setup. Once setup, the input will be saved and applied during upcoming logins.


Step 1: Trigger the download of ActiveX Controls

i.         When Internet Explorer is accessing to a site with ActiveX Control content but installation of ActiveX Control is not performed, Internet Explorer will reflect a message highlighting the link to perform such installation, as reflected under Screenshot 19. Click at the link then a menu pops up, then click at ''Install ActiveX Controls''.

ii.        Wait for few seconds while the system is performing the download until a window pops up, as reflected under Screenshot 20. Click ''Install''.

iii.      Upon the completion of installation, re-click at the module and ensure the error page encountered initially is removed and a full content page appears, as reflected under Screenshot 21.

i.         To logout from the ESS application, select the ''Logout'' link from the main menu bar. Please logout after using the ESS rather than closing the window directly.
